Volunteering

Excitement is building as the 5th ICF Australasia Conference is fast approaching. Registrations are flowing in and the program details are being finalised...all focusing on our theme of 'Creating Future Stories Together'.

ICF Conferences are always the combined effort of a large number of members contributing their time and energy into creating wonderful events. To make this event a success we require the help of some enthusiastic volunteers to help in many areas of the Conference. Volunteer positions are listed below and you'll find a form at the bottom of the page to sign on!

Registration Desk Hosts - 9 positions

Required to attend a pre-conference telecall to discuss processes and procedures (this will involve an approx 20 min call to a US telephone number, suggest volunteers use a call card for low cost access).

Times are:
(3 people required) Adelaide Convention Centre, Adelaide 31st October - 7:45am until 8:45am (this is immediately before the PreConference Events)
(6 people required) Adelaide Convention Centre, Adelaide - 7:00am until 8:15am (this is immediately before Conference Day 1)

Overview of tasks:

  • Welcoming each delegate
  • Providing delegate with a satchel and their name tag and lanyard
  • Marking names off delegate list
  • Referring any queries to Secretariat
  • Secretariat will process any late payments for registration
  • No money handling required

Must have:
Ability to greet people warmly even when they are the 50th person you've spoken to that morning! Please note these early starts - if you're not a "morning person" or if you're a "morning grump" (we understand ; >) please specify that you're interested in the evening slot or see the volunteer roles below.

I would like to volunteer as a Registration Desk Host

Room Hosts for concurrent sessions - 5 - 28 positions

Required to attend a pre-conference telecall to discuss processes and procedures (this will involve a 30-40 min call to a US telephone number, suggest volunteers use a call card for low cost access).

Duties:

  • Collect speaker introduction and CCEU Certificates and evaluation forms from the conference secretariat
  • Ensure room is tidy and clean (request assistance if necessary)
  • Place an evaluation form on each chair
  • Introduce the speaker
  • Provide timing queues to the speaker (to be discussed with the speaker at the time)
  • Thank the speaker
  • Hand CCEU certificates to participants as they leave each session (except keynote speakers)
  • Collect evaluation forms
  • Return evaluation forms to the secretariat

I would like to volunteer as a Room Host

Satchel Packers - 6 positions

Required to meet on 30th August (or date in week commencing 24/8 to be agreed) and place sponsor and conference information into satchels for delegates.
Venue for this packing to be confirmed.

Satchel Packing Leader - 1 position

Required to meet on 30th August (or date in week commencing 24/8 to be agreed)
May involve collecting items from the Adelaide Convention Centre or Hyatt Regency and returning them - some details still to be confirmed.
To ensure all items to be packed have arrived safely (and liaise with the Conference Secretariat in the case they haven't)
Ensure that satchel packers know correct brochures and quantities to be put in satchels.
To ensure that all empty boxes and packaging have been disposed of and that the packing area is left clean and tidy.

Speaker Prep Room Hosts - 2 positions

Required to attend a pre-conference telecall to discuss processes and procedures (this will involve a 15-30 min call to a US telephone number, suggest volunteers use a call card for low cost access).

  • Required to ensure that the speaker prep room is kept tidy at all times and that all speakers have all they need to present
  • Liaise with secretariat if there are any immediate needs of the speaker that cannot be met by you
  • Provide tea and coffee for presenters if requested
  • Familiarity with computers and powerpoint would be helpful

I would like to volunteer as a Speaker Prep Room Host

Sponsor Assistants - 3 - 6 positions

Required to attend a pre-conference telecall to discuss processes and procedures (this will involve a 15-20 min call to a US telephone number, suggest volunteers use a call card for low cost access).

  • Required to ensure that sponsors have all they need for their trade expo space
  • Liaise with the sponsor and if there are any requests or questions that cannot be met by yourself speak to the conference secretariat on the sponsor's behalf
  • Assist the sponsors with setting up their stand or moving gear into the venue.
  • Some lifting may be required.

Times:

31 August 6:00am to 8:00
2 September 5:45pm to 6:45pm

I would like to volunteer as a Sponsor Assistant

Mentor Coach Assistant - 1 Position

  • Collect Mentor Coach biographies from Secretariat
  • Set up stands with biographies of mentor coaches
  • Set up stand with booking sheets for members to add their details for sessions
  • Remove any remaining biographies at the end of the Conference (speakers are encouraged to collect and reuse their laminated biographies)
